The MINUTES of the 8th ANNUAL GENERAL MEETING of BeMBA

Held at SINDLESHAM COURT on THURSDAY 10th September 2015

The Provincial Grand Master, RW Bro Richard Olliver opened the meeting at 3pm and welcomed all present and thanked them for their attendance.

APPOINTMENT OF CHAIRMAN AND VICE CHAIRMAN;-
The Provincial Grand Master, RW Bro Richard Olliver, proposed that VW Bro Graham Seeman be re- appointed Chairman, and that W Bro Raymond Head be appointed to Vice Chairman. This was seconded by W Bro Jim Payen and unanimously agreed to by those present.

MINUTES:-
The Minutes of the 7th Annual General meeting held at Sindlesham Court on Thursday 11th September 2014 having been circulated to all of the members. Were proposed as a true record by W Bro Hugh Ranscombe and seconded by W Bro Jim Payen and confirmed by the brethren present and signed by the Provincial Grand Master.

MATTERS ARISING:-
There were no matters arising that would not covered by the agenda and updates.

TREASURERS REPORT:-
The Treasurer, W Bro John Stocker, gave a report of the financial position of BeMBA. The accounts for the year ending 31st December 2014 have been audited by W Bro's Raymond Head and Jim Payen. The report showed Income for 2014 was £239 and Expenditure £4,025 giving a net loss of £3,786. The reserve was £45,999 but this has subsequently been lowered due to expenditure in 2015.
It was proposed by W Bro F Hames and seconded by W Bro S Ostrowski that the accounts be adopted with thanks to the Treasurer and Examiners. This was unanimously agreed by the meeting.

BY LAWS:-
The proposed minor changes to the By Laws have been accepted by the Charity Commissioners subject to approval at the AGM. It was proposed by W Bro A Hardiman and seconded by W Bro S Ostrowski that the amended By Laws be approved with thanks to W Bro G Barlow for his work. This was unanimously agreed by those present.

ELECTION OF OFFICERS:-
The election of the Chairman and Vice Chairman having already been agreed, it was proposed by W Bro R Head and seconded by W Bro H Ranscombe that W Bro John Stocker be elected Treasurer, W Bro David Fisher as Secretary and the two Examiners be W Bro Jim Payen and W Bro David Medley. This was unanimously agreed by the meeting.

DATES OF THE MEETINGS FOR 2015:-
Committee meetings – Thursday 21st January 2016, Thursday 19th May 2016 and the AGM prior to the Provincial Meeting.

ANY OTHER BUSINESS:-
The question of donations to the Devonshire Festival in 2016 and the later Berkshire Festival was raised by the Secretary W Bro D Fisher and he proposed that the sum of £1,000 be donated to each festival. This was seconded by W Bro F Hames and agreed to by the brethren present.

The PGM, RW Bro Richard Olliver, addressed the meeting on the subject of Lodges identifying local outside groups that we could assist with small donations. The process he had in mind was for representatives to bring forward ideas to the committee meetings where they could be discussed and decisions made. He felt that BeMBA would become more encompassing. He would like this concept to be an agenda item at the next committee meeting.

The Chairman closed the meeting at 3.25pm with thanks to all for attendance and interest.

The date of the next meeting is Thursday 21st January 2016.
